PRISM Configuration Options
Document Numbering

Automatic or manual document numbering with easy configuration to enable or disable as required.

Unlimited document numbering formats can include custom prefixes, suffixes, and fiscal year.

Sequential numbers can be defined for each procurement document type (e.g., requisitions,
solicitations, contracts).

Document numbering formats are maintained by the system administrator or other authorized users.

Flexible document numbering capabilities permit the definition of document numbering formats by office based on use of the site code (see site hierarchy below).

Selection of document numbering format is determined by the user's site designation.

Delivery/task orders can be automatically numbered sequentially within each contract or assigned a unique number by the user.

Modification numbers can be automatically numbered sequentially within each contract and may be configured to include a designation code (i.e. P00001, A00001 or 00001).
Site Hierarchy

Supports the concept of hierarchical sites (i.e. parent/child sites).

Sites can be used to define offices, agencies or regions.
-
Many system configuration items, such as document numbering and approvals, can be defined at the site level.
-
Majority of business rules are configured at site level allowing offices within an agency/department to operate in accordance with their individual policies/procedures.

Each user is designated as belonging to a site.
-
Each document created in the system is designated as belonging to a site.
-
Authorized users can be granted privileges to view/edit document from other sites.
-
System administrators can perform tasks/maintenance at the site level.
Customizable Fields

Over 100 configurable fields are available to capture agency-specific data without requiring system customization or programming.

Configurable fields are available at the document level, line item level and the accounting code level.
-
Configurable fields are defined by the agency and maintained by the System Administrator.

Configurable fields can be defined as optional or required; system will not process documents missing required items.
-
Look-up tables can be defined for customizable fields to facilitate data entry and validation.

Configurable fields can be designated to print on forms.
-
Configurable fields can be defined for use by document type.
Line Items

The number of characters in the line item number is defined by the agency.

Supports the use of sub-line item numbers.
-
Agencies can define the separator utilized when numbering sub-line items.
-
Agencies can create their own Product/Service Code table for use at the line item level.
